Whitby Courthouse Theatre invites applications for the following coordinator positions to support the operation and success of our community theatre. These roles offer an opportunity to contribute to the planning and execution of our productions in a meaningful way. A stipend is provided in recognition of the time and effort required for these roles. Detailed descriptions of each position are included below.

This Coordinator Position reports to the President.
Box Office
• Process subscription and regular ticket orders, and distribute tickets.
• Maintain subscription mailing list and master seating plan.
• Attend, or provide a substitute, for all performances to sell tickets and assist patrons with orders, from one-hour prior to curtain until the show begins.
• Liaise with the Treasurer on financial matters.
• Be aware of the floor plan including obstructed seats.
Office Coordination
• Maintain the office in a safe and clean manner.
• Inventory the script library and facilitate lending.
• Obtain copies of approved minutes and financial statements from the Secretary and Treasurer, for filing.
• Maintain contact lists.
• Respond to phone calls and voicemails.
• Reply to general emails.
• Forward volunteer requests to the Vice-President, Executive Producer, and Front of House.
• Ensure that printing supplies (paper and toner) are available.
• Ensure stock of stationary.
• Coordinate, with the Producer, the engraving of mementos for Directors, Musical Directors and Producers in time for the closing night party.
• File production photos, posters, programs, etc.
• Work with the Information Technology Coordinator to update the website history.
• Maintain the Member Archival database.
• Other duties as assigned

This Coordinator Position reports to the Executive Producer.
Wardrobe
· Ensures all costumes are returned and cleaned after each production.
· Maintain an inventory of all costumes and supplies
· Maintain the Costume Room, in a safe and clean manner.
· Ensure equipment is in working order.
· Ensure volunteers are properly informed in the safe use of equipment.
· Ensure no individuals under the age of 18 use sewing machines, sergers, irons or steamers, unless they are properly trained in the safe use of this equipment, and we have received parental permission.
· Facilitate rental of costumes.
Productions
If requested by the production:
· Coordinate with Director and Costume Designer on supplies and in-stock costumes.
· Assist in renting or borrowing costumes.
· Attend load-in and strike.

This Coordinator Position reports to the Executive Producer.
Technical
Maintain the booth, and tech room in a safe and clean manner.
Ensure equipment is in working order and properly locked away when not in use.
Ensure volunteers are properly informed in the safe use of ladders, the grid, lighting dimmers, the balcony.
Ensure no individuals under the age of 18 use ladders over 6 feet, or other potentially dangerous equipment.
Productions
If requested by the production:
Organizes technical needs of the show
Ensures lighting equipment is operational prior to each production
Attend technical rehearsals, load-in and strike.
Rentals
The Technical Coordinator is responsible for the following technical rental duties:
Respond to inquiries and issue quotes.
Responsible for coordinating contracts, invoices and billing and inform/coordinate these functions with the Treasurer.
Schedule a technician.
Responsible for the overall success of the client experience.
